Please read these terms carefully before booking with us
1. About Us
Macoc Educational Services Ltd (“Macoc”, “we”, “us”) is a company registered in England and Wales. Our registered address is Luton, Bedfordshire, England. By booking a course or using our website you agree to these terms in full.
2. Bookings
- All bookings must be made online through our booking system. Telephone and email bookings are not accepted.
- You must create a parent/guardian account and register the attending child before completing a booking.
- A booking is confirmed only once full payment has been received (or a valid HAF voucher has been submitted for free holiday camps).
- You will receive a confirmation email once your booking is processed.
- Places are limited and allocated on a first-come, first-served basis.
3. Payment
- All prices are stated in pounds sterling (GBP) and are inclusive of VAT where applicable.
- Payments are processed securely via Stripe. We do not store your card details.
- For weekly programmes (Supplementary School and other courses), payment is taken per booking at the stated rate.
- Sibling discounts are applied automatically at checkout where eligible.
4. Cancellation & Refund Policy
- 7 or more days before the session: full refund.
- 3–6 days before the session: 50% refund.
- Less than 3 days before the session: no refund, but a credit note may be issued at our discretion.
- HAF / free holiday camp bookings: non-refundable; however you may transfer your place to another eligible child with 48 hours' notice.
- Macoc reserves the right to cancel or reschedule a session due to insufficient enrolments, staff absence, or circumstances beyond our control. In such cases a full refund or transfer will be offered.
5. Child Safety & Drop-Off / Pick-Up
- A parent or authorised adult must drop off and collect children personally and sign the daily register.
- A security passcode is issued at registration. Adults collecting a child must present this passcode.
- Drop-off is 15 minutes before the session start time. Early drop-off cannot be accommodated.
- If a child is not collected within 30 minutes of the session end, we will attempt to contact the emergency contact on record, and statutory safeguarding procedures may be initiated.
6. Health & Medical Information
- You must disclose any medical conditions, allergies, or SEN needs for your child at registration.
- We will make reasonable adjustments to support children with additional needs, but cannot guarantee one-to-one provision unless agreed in writing before booking.
- We are unable to administer prescription medication. Over-the-counter medication (e.g. antihistamines) may be administered with written consent on the day.
7. Behaviour Policy
We expect all children and accompanying adults to treat staff and other participants with respect. Macoc reserves the right to remove a child from a programme — without refund — if their behaviour poses a risk to the safety or wellbeing of others. 8. Photography & Media
We occasionally photograph or film sessions for use in our marketing materials. You will be asked to provide or withhold consent during registration. Images of children whose parent/guardian has withheld consent will never be published.
9. Limitation of Liability
Macoc’s liability to you in connection with any booking shall not exceed the amount you paid for that booking. We are not liable for any indirect or consequential loss. Nothing in these terms limits our liability for death or personal injury caused by our negligence.
10. Changes to These Terms
We may update these terms from time to time. The current version is always published on this page. Continued use of our services after a change constitutes acceptance of the updated terms.
11. Governing Law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
